Conference Room Agreement and Contract                    

This agreement between the renter and the Shawano Chamber Foundation, Inc. defines the terms and conditions for rental of the Shawano Chamber Foundation Conference Room. This Agreement includes a Rental Contract Attachment which is incorporated into this Agreement. The rental contract can be downloaded at the bottom of this agreement.


The following terms and conditions apply to all room rentals:

  1. Rental of the Chamber Foundation conference room will be on a first come, first served basis. Chamber Foundation, Chamber, Tourism Council and SCEPI meetings take priority.


  1. Meetings may not be scheduled more than 6 months in advance.


  1. The Chamber Foundation building and meeting rooms are for business related purposes only. No personal events are to be scheduled for the building.


  1. The Chamber Foundation has the right to refuse rental to any individual or organization.


  1. All individuals and/or businesses must complete a Room Rental Agreement Form (Attached) at the time the room is reserved.


  1. The room rental fee is required at the time of reservation. The All room rental payments are non-refundable and may be changed periodically by the Chamber Foundation.


  1. Renters are responsible for any damage to the facilities and/or contents, equipment, furniture and fixtures. All damage must be reported to the Chamber staff immediately. Room renters will be expected to cover all repairs and replacement cost of any damage to the facility itself and or the contents of such.


  1. The conference room must be left in proper order with all paper, trash, etc. disposed of in trash receptacles. A clean-up fee will be charged if warranted.


  1. The Chamber Foundation will provide coffee at fees listed on the Rental Agreement if desired by the renter. If the Renter would like additional food and beverages to be delivered, the Chamber Foundation will provide a list of approved caterers who are members of the Shawano Country Chamber of Commerce. Renters may bring soft drinks and other light foods.


  1. Smoking is not permitted in the building.


  1. The conference room will be available during business hours of 8:00 a.m. To 4:30 p.m. on weekdays and 10 a.m. – 2:30 p.m. on Saturdays. All events must end prior to closing time of 5 p.m. on weekdays and 3 p.m. on Saturdays. All persons, supplies, and decorations must be out of the building by that time unless previous arrangements have been made with the Shawano Chamber Foundation.


  1. The Shawano Chamber Foundation is not responsible for items belonging to the Renter or Renter's guests that are lost, stolen, damaged during the rental period. Renter and renter's guests as renter's permitted invitees, release the Shawano Chamber Foundation and Shawano Country Chamber of Commerce from any liability for loss or damages to such property.


  1. It is understood, the Shawano Chamber Foundation, Inc. is in no way responsible for any personal injuries, property damages or other liabilities that may be incurred during use of their facility. Renter agrees to release indemnity and hold the Shawano Chamber Foundation and Shawano Country Chamber of Commerce harmless of any such damages.


  1. The conference room is normally set up with tables and chairs in board meeting style. Should Renters require a different set-up; the renting party will be responsible for a set-up fee of $35.
